Roles and Importance of Internal Communication

The communication that occurs among the people at different levels within the same organization structure is known as internal communication. Overall performance of organizational activities mostly depends on effective internal communication. Importance or role of internal communication is discussed below:

Formulation of plans: Formulation of plans, policies and strategies requires information from various sources. Managers can gather their required information by communicating with their superiors, subordinates and peers.

Execution of plans and policies: Proper execution of plans and policies requires directions and guidelines from the superiors. In this regard, downward communication is only the way to give necessary directions and guidelines to the subordinate.

Motivating the employees: Internal communication also helps to motivate the employee of the organization. Through internal communication, superiors provide information to the employees at various levels and keep them well informed of various organizational matters. As a result, subordinates feel motivated.

Coordination: Achievement of organizational goals depends on cross-functional coordination. Coordination brings unity among the organizational activities. Successful coordination of various organizational functions is attained through effective internal communication.

Ensuring proper control: Controlling is a basic function of management. It refers to ensuring that performance conforms to plans. Without internal communication, it is not possible to exercise proper degree of control.

Establishing harmonious relationship: Formal and informal internal communication help in developing good relationship between management and workers. It reduces the possibility of conflict and misunderstanding. As a result, harmonious relationship develops between management and workers.

Increasing efficiency of employees: Internal communication provides superiors’ guidance and directives to the subordinates as well as conveys subordinates suggestions and recommendations to the superiors. It also supplies information to the colleagues and peers. In this way, internal communication creates sense of responsibility and dutifulness among the employees and helps in improving their efficiency.
